Information for the participants of the research project “The Biodiversity Nexus - Triggering transformative change for sustainability”
You are taking part in the research project BIONEXT (The Biodiversity Nexus - Triggering transformative change for sustainability). This notice describes how your personal data will be collected, used, disclosed and stored by the partner organisations of the project in accordance with Articles 13 and 14 of the General Data Protection Regulation of the European Parliament and of the Council. Participation in the study is voluntary and you can withdraw from the study at any point in time.
Legal basis for processing personal data
Personal data collected in the workshops, focus groups, expert panels and by conducting interviews and surveys is based on the consent given face-to-face or assigned electronically when the data subject participates in the study in accordance with Article (Article 6(1)(a) of the EU General Data Protection Regulation).
Collected and processed personal data and purpose of processing
The collection of personal data will be carefully considered and will only be collected to the extent necessary to carry out the research. The following personal data will be collected: names of the participants and their professional titles, profession, the name of the organisation you work for, gender, age, field of knowledge, place of residence (state), email address, voice and video.
The personal data will be collected directly from the participants in the study. In addition, contact details will be collected from websites and experts so that stakeholders can be contacted, and their expertise can be identified.
In BIONEXT personal data is collected and processed for the purposes of scientific research and communication. The collection of personal data is essential as we work to engage stakeholders to bring about biodiversity-relevant changes in societies. Data from workshops, interviews, focus groups, expert panels and surveys will only be opened when we can ensure that the personal data can be anonymised so that the identity of the participants is not revealed. Collected data will not be used for other purposes such as automated decision making nor profiling.
Recipients of personal data
The researchers of BIONEXT who have collected the data containing personal data have the right to access and process that data. Data from workshops, interviews, focus groups, expert panels and surveys will be shared with the BIONEXT partners after personal identification data has been removed or converted to a non-identifiable format. Personal data will be processed in the UK under a decision of the European Union but is not transferred to any other country outside the European Union or the European Economic Area.
Protection, storage and deletion of personal data
Personal data will be stored in both electronic and physical form. The organisations mentioned under “Registrars” below have taken technical and organisational measures necessary and require these measures from all the service providers used. Electronic personal data is stored on secure local network drives of the participating organisations, where only authorised project members have access to the data. Similarly, physical research data is kept in such a way that unauthorised persons cannot access them. Personal data collected in workshops, interviews, focus groups, expert panels and surveys will be kept for as long as deemed necessary for the processing purposes mentioned in this privacy notice and will be deleted immediately thereafter.

The purpose of this notice is to provide a comprehensive explanation of the processing of your personal data and your rights to your personal data collected by BIONEXT.
According to the General Data Protection Regulation (GDPR), you have the right

not to be subject to a decision based solely on automated processing.
You also have the right to lodge a complaint with a supervisory authority.
If you are unclear about any aspect of the processing of your personal data, or you have any questions or issues regarding the above rights, you can send further questions to the contact person or to the Data Protection Officer of the organisation where your personal data is processed.
